FREE AGENCY OPERATING PLAYBOOK
The client-ready indexing workflow.
A practical seven-step system for moving campaign URLs from discovery to accountable reporting—without turning provider receipts into indexing promises.
THE SEVEN-STEP SYSTEM
One repeatable path for every campaign.
- 01
Define the campaign inventory
List owned pages, publisher placements, partner articles, and supporting assets under one client and campaign name.
- 02
Confirm the preferred URLs
Remove duplicates, tracking variants, redirects, private pages, and any URL that is not the final public destination.
- 03
Run technical preflight
Check HTTP response, robots directives, canonical target, and public accessibility before spending units.
- 04
Choose the service level
Use Standard for routine work, Priority only where faster processing has business value, and Index Check for separate search evidence.
- 05
Record every action
Keep the batch name, action, date, unit cost, provider result, and unresolved URLs in one history.
- 06
Report three truths
Show technical eligibility, submission processing, and observed search visibility as separate facts.
- 07
Schedule the next decision
Recheck unresolved URLs after enough time has passed, then escalate genuine technical blockers instead of repeatedly submitting.
CLIENT REPORTING DEFINITIONS
Language that keeps the report honest.
- Technically eligible
- No confirmed blocker was found in the latest preflight. This is not proof of indexing.
- Submitted
- The provider accepted or completed the request. The search engine still controls crawling and inclusion.
- Indexed · detected
- The latest Index Check found positive Google visibility evidence for the URL.
- Not detected yet
- The latest check did not find positive evidence. Review later without treating absence as a permanent verdict.
CLIENT HANDOFF TEMPLATE
What to include at the end of the reporting period.
- Campaign name and reporting window
- Total URLs tracked by domain
- Standard and Priority submissions completed
- Latest indexed, not detected, and unresolved counts
- Confirmed technical blockers and assigned owner
- Date of the next planned review
CAPACITY WORKSHEET
Estimate the monthly unit requirement.
For each client, add planned Standard submissions and Index Checks, then add ten units for every Priority URL. Pool the result across the portfolio and keep a buffer for rechecks.
monthly units = standard URLs + Index Checks + (Priority URLs × 10) + recheck bufferPUT THE PLAYBOOK TO WORK
